Terms of Service

These Terms of Service (“Terms”) govern your use of PilotWise (“PilotWise”, “we”, “us”), an aviation talent marketplace connecting pilots with recruiters and operators. By creating an account or otherwise using the platform, you agree to these Terms. If you don't agree, please don't use PilotWise. These Terms are drafted to match how the platform actually works today, section by section, but have not yet been reviewed by a qualified solicitor. That review must happen before these Terms are relied on in production.

Every account holder, whether pilot, recruiter or administrator, is covered by Section 1. Section 2 sets out what applies specifically if you hold a pilot account, and Section 3 sets out what applies specifically if you hold a recruiter account.

Section 1: General (applies to everyone)

1.1 Who can use PilotWise

You must be at least 18 years old and able to form a binding contract to create an account. Pilot accounts are intended for working aviation professionals; recruiter accounts are intended for genuine airlines, operators and staffing agencies recruiting for real vacancies.

1.2 Your account

You must provide accurate information and keep your login credentials secure. You are responsible for all activity under your account. Recruiter and operator accounts must be approved by us before they can search for or contact pilots, and we may withdraw that approval at our discretion, including where we reasonably believe the account is being misused.

1.3 Acceptable use

  • Do not misrepresent your identity, company, qualifications or intentions.
  • Do not attempt to circumvent access controls, rate limits or security measures.
  • Do not upload unlawful, infringing, defamatory or malicious content.
  • Do not scrape, harvest or bulk-extract data from the platform.
  • Do not use PilotWise for any unlawful or discriminatory purpose.

1.4 No scraping or automated extraction

You must not use bots, scrapers, crawlers, spiders or any other automated means to access, copy, extract or index content or data from PilotWise, except for search engines and AI answer-engine crawlers that we have knowingly and expressly permitted, such as via our robots.txt. In particular, you must not systematically collect, copy or reproduce airline, job listing or other structured data from PilotWise in order to build, populate or supplement a database, directory or competing product, whether by automated means or by manual copying at scale. We may use technical measures, including bot detection, rate limiting and traps designed to detect unauthorised copying, to identify and restrict this activity, and we reserve the right to suspend access and pursue legal remedies against anyone who breaches this clause.

1.5 Third-party links and content

Some job listings link out to an external application process hosted by the recruiter or operator, and airline profiles may link to third-party websites (for example, an airline's own careers page). We are not a party to, and have no responsibility for, what happens on those third-party sites once you leave PilotWise.

1.6 Intellectual property

PilotWise, our logo, and the platform's design and code are our property or that of our licensors. We grant you a limited, non-exclusive, non-transferable licence to use the platform for its intended purpose. Content you submit (your profile information, reviews, messages) remains yours, but by submitting it you grant us a licence to store, display and use it as needed to operate the service described in these Terms and our Privacy Policy.

1.7 Availability and changes

The service is provided “as is” and “as available”. We may add, change, suspend or discontinue features at any time, and we don't guarantee uninterrupted or error-free access.

1.8 Liability

To the extent permitted by law, PilotWise is not liable for indirect or consequential losses, or for hiring, employment or recruitment decisions made by anyone using the platform. We don't guarantee that any pilot will be hired, that any job listing is accurate or still available, or that any recruiter is who they claim to be beyond our vetting process described in Section 3. Nothing in these Terms limits liability that cannot be limited by law, such as liability for fraud or for death or personal injury caused by our negligence.

1.9 Termination

You may close your account at any time from Account Settings. We may suspend or terminate accounts that breach these Terms, or where we reasonably believe continued access poses a risk to other users or to the platform.

1.10 Governing law

These Terms are governed by the laws of England and Wales, and any dispute will be subject to the exclusive jurisdiction of the courts of England and Wales, without prejudice to any mandatory consumer protections that apply in your country of residence.

1.11 Changes to these Terms

We may update these Terms as the platform changes. We will update the “last updated” date above, and where changes are material we will make reasonable efforts to notify you. Continued use of PilotWise after a change takes effect means you accept the updated Terms.

1.12 Indemnity

You agree to indemnify and hold PilotWise harmless against any claim, loss or expense arising from your breach of these Terms or your misuse of the platform, including a recruiter's misuse of pilot data in breach of Section 3.

1.13 Assignment

You may not transfer your rights or obligations under these Terms without our consent. We may transfer these Terms, including in connection with a merger, acquisition or sale of all or part of our business, and will notify you if we do.

1.14 Severability and entire agreement

If any provision of these Terms is found unenforceable, the rest will remain in full force. These Terms, together with our Privacy Policy and Cookie Policy, are the entire agreement between you and PilotWise regarding your use of the platform, and supersede any prior agreement or understanding.

Section 2: Additional terms for pilots

This section applies in addition to Section 1 if you hold a pilot account.

2.1 Accuracy of your information

You are responsible for the accuracy of everything in your profile, including licences, type ratings, hours, medical details and uploaded documents. PilotWise does not independently verify the regulatory validity of any licence, rating or medical certificate, and is not a substitute for a recruiter or operator's own compliance checks before making a hiring decision.

2.2 Your profile and its visibility

You control whether your profile is published and visible to approved recruiters via a toggle in your settings. We don't guarantee that being published will result in any views, shortlists, contact requests, interviews or job offers.

2.3 Reviews you post

If you post a review of an airline, it must be genuine, based on your own first-hand experience, and not defamatory, false or misleading. We may moderate, decline to publish, or remove any review at our discretion, including in response to a complaint from the airline concerned.

2.4 No employment relationship

PilotWise is a marketplace connecting pilots with recruiters and operators. We are not your employer or recruitment agent, and we are not a party to any employment or engagement contract you enter into with a recruiter or operator you meet through the platform.

Section 3: Additional terms for recruiters

This section applies in addition to Section 1 if you hold a recruiter account.

3.1 Vetting and approval

Every recruiter account is manually reviewed before it can search for or contact pilots. We may decline an application, or suspend or revoke approval at any time, including where we reasonably believe your company, role or intentions don't meet our standards.

3.2 Pilot data is self-reported and unverified

All profile information, including licences, type ratings, hours, employment history and medical certificate details, is entered by the pilot themselves. PilotWise does not verify the identity of any pilot, or independently check that any licence, rating, medical certificate or other credential is genuine, current or accurate. The “valid / expiring / expired” status shown against a credential is calculated purely from the expiry date the pilot has entered; it is not confirmation that the underlying document exists or is genuine. You are solely responsible for carrying out your own due diligence, reference checks and document verification as part of your recruitment process before making any hiring decision, and you must not rely on anything shown on PilotWise as a substitute for that.

3.3 Permitted use of pilot data

You may use pilot data made available to you solely to identify and contact candidates for genuine roles. You must not export, resell, scrape or otherwise misuse pilot data, use it for any unlawful or discriminatory purpose, or use it for marketing unrelated to a genuine opportunity you are recruiting for.

3.4 Your job listings

You are responsible for the accuracy and lawfulness of any job listing you post, including that the role genuinely exists and that any requirements stated (licences, ratings, hours, right to work) are accurate and lawful. We may moderate, decline to publish, or remove any listing at our discretion.

3.5 Your own legal obligations

You remain solely responsible for complying with employment, immigration, equality and data protection law in your own hiring process, including right-to-work checks, equal opportunities obligations, and any recruitment-sector regulation that applies to you. PilotWise's vetting of your account is not a substitute for your own legal compliance.

3.6 Fees

PilotWise is currently free to use for recruiters. If we introduce fees in future, we will give reasonable notice before any fee applies to your account.
